POSITION DETAILS

Title: Administrative Coordinator 

Hours and Schedule for Spring 2024 (March / April – early June): 

  • Primary needs for spring 2024 are Friday nights, Saturdays (between 2 and 11pm, with exact shifts determined by programmatic needs), and Sunday daytime. Regular Friday evening and Saturday availability required.
  • Exact schedule variable each week and determined by building events.
  • On as-needed basis: other times throughout the week, could include some weekday and weeknight hours
  • Total hours: Anticipate 5-15 hours / week
  • Schedule subject to change seasonally

Hours and Schedule for Sumer 2024 (March / April – early June): 

  • Schedule will vary according to programming needs and staff availability. May include more weekdays, but still need coverage on weekend days and evening. MYArts endeavors to build its summer schedule around staff needs and commitments.

Start date: As soon as available.

Compensation: $18/hour, paid monthly on the last business day of the month + some access to no-cost studio time

Employing organization: MYArts is a facility on Madison’s near east side that supports Madison-area youth arts organizations by providing affordable space for classes, workshops, and other programs. Its mission is to ensure opportunities for young people to express themselves, discover the arts, and create connections, and serve as the home for the Children’s Theater of Madison and Madison Youth Choirs.

Workplace setting: 

  • Majority of the work time will be at the front desk, with immediate priority being managing the flow of program participants entering and moving through the building. Additional work duties to be accomplished during quiet periods at the front desk.
  • Ample bike parking; served by numerous bus routes; street parking available; covered garage available for $2/hr.

Duties: 

  • Staff MYArts front desk, welcoming and supporting user programs and their participants.
  • Weeknight and weekend hours serving as building host and facility troubleshooter.
  • Set up studios according to each group’s needs–will involve moving tables and chairs.
  • Data entry for our space management system and/or donor database.
  • Uphold MYArts policies and practices.
  • Open the building at the beginning of the day and/or close the building at the end of the day/evening.
  • Other duties assigned based on skills, interests, and experience.

Qualifications (can be demonstrated through work history, volunteer service, or other life experiences):

  • Ability to lift 40 pounds and ability to move folding tables, chairs, and similar items
  • Experience in customer service
  • Enjoy working with a wide variety of people, including youth of all ages
  • Can quickly and calmly solve problems on the fly
  • Can operate independently as well as with a team
  • Experience with some aspect of the arts (any kind of art, as a participant, performer, and/or enthusiast, formal or informal, etc.)
  • Experience with data entry and very good attention to detail
  • Be personally and professionally committed to equity and inclusion, with a dedication to honoring the life experiences of each person who walks through MYArts’ doors.
  • Willing to undergo a background check as part of youth safety protocols 

Position reports to the Director of Community Partnerships and the Director of Facilities.

POSITION OVERVIEW

Position description: MYArts (Madison Youth Arts Center) is seeking an Interim Building Manager to oversee the maintenance and operations of the MYArts physical facility. This part-time position, starting immediately, is expected to run until December 31, 2024, with the possibility of extension. The Interim Building Manager is a 1/2 time (50% FTE) position, primarily working in the mornings on weekdays, with required flexibility to attend to work with maintenance contractors. The role may include on-call responsibilities to address emergent situations.  

Key responsibilities for the Building Manager include managing contractors, overseeing building systems, performing small repairs and maintenance, coordinating larger repairs and maintenance, and ensuring compliance with safety regulations.

Title: Interim Building Manager

Hours and Schedule: 

  • Start date: As soon as possible
  • Half-time: 50% FTE
  • Schedule: Monday-Friday, primarily in the mornings; exact schedule determined in part by work with MYArts’ maintenance contractors; may require starting as early as 7:00am some mornings to meet contractors.
    • May require some on-call hours to respond to emergent situations at the building

Compensation:

  • $2700-$3150 per month
  • Salary is paid monthly, on the last business day of the month

Employing organization: MYArts (Madison Youth Arts Center, Inc.) is a purpose-built facility dedicated to youth arts programs, providing affordable and accessible space to promote equity and access. The center is home to the Madison Youth Choirs and Children’s Theater of Madison, and also works with multiple programming partners to offer classes, rehearsals, performances, workshops, and meetings. POSITION DETAILS

The focus of this interim position is managing the MYArts physical facility. The MYArts building, which opened in 2021, was purpose-built as a youth arts facility. It includes 14 studios, a blackbox theater, a proscenium theater, a production shop, a costume shop, office and work areas, and numerous gathering spaces throughout the building. 

Primary responsibilities include:

  • Coordinating and overseeing the work with the numerous contractors who service, maintain, and inspect the various systems of the building, including but not limited to: HVAC controls, HVAC physical system, water treatment, pest control, security system, fire alarms, fire protection, building plumbing, fire extinguishers, loading dock, window cleaning, freight elevator, passenger elevator, vending machine, internet, and copy machine.
  • Basic repair / maintenance work (e.g. re-attaching wall corner protectors, replacing carpet squares, touch up painting, etc.) and contracting for larger jobs.
  • Learn basic use of HVAC control system to make temporary adjustments to our HVAC schedules. System used: Trane Tracer Synchrony.
  • Schedule inspections, maintenance, etc. so as not to interfere with programs occurring in the building. Learn basics of space management platform (Momentus) to do this.
  • Ensure facility stays in compliance with local, regional, and state agency requirements for testing, safety, etc. (E.g. elevator inspections, fire prevention, fire extinguishers, backflow prevention, drop test on garage doors, etc.)
  • Collect W9s from contractors as needed.
  • Collaborate with Director of Community Partnership for annual insurance audit.
  • Collaboratively continue to develop, hone, and communicate building safety procedures and expectations.

Preferred experience and qualities needed:

  • Experience with commercial, municipal, or public building systems.
  • Knowledge of, and experience with, facility, mechanical, electrical, and plumbing maintenance.
  • Experience in keeping track of details and ensuring consistent follow-up.
  • A collaborative, transparent, team-oriented approach to work.
  • A sense of responsibility for ensuring the smooth running of the facility.
  • The ability to translate the impacts of technical facility decisions to colleagues with other areas of expertise.
  • Experience managing a budget for facilities planning and spending.
  • The ability to be a trusted, calm decision-maker and problem-solver.
